What this job involves

As a Facilities Coordinator at JLL, you will play a vital role in ensuring the smooth, safe, and efficient day-to-day operation of a client’s facility or portfolio of properties. You will serve as a key point of contact for building occupants, vendors, and service providers, helping to resolve issues quickly and maintain a positive, well-functioning workplace environment. This role suits someone who is organized, proactive, and genuinely enjoys solving problems before they escalate. At JLL, we are collectively shaping a brighter way — for our clients, ourselves and our fellow employees — and as a Facilities Coordinator, you will be at the heart of that mission, supporting the people and spaces that keep businesses running. You will work closely with property management, engineering, and vendor teams, and your attention to detail will directly impact the experience of everyone who walks through the building’s doors.

What your day-to-day will look like

  • Respond to facility-related service requests and coordinate timely resolution with internal teams or external vendors
  • Monitor work order systems to track progress, ensure accurate documentation, and follow up on outstanding tasks
  • Support the scheduling and coordination of preventive maintenance activities across building systems
  • Assist with vendor management, including scheduling service visits, verifying compliance documentation, and reviewing invoices
  • Conduct regular walkthroughs of the facility to identify maintenance needs, safety concerns, or opportunities for improvement
  • Help coordinate space planning, moves, and minor office reconfigurations in partnership with relevant stakeholders
  • Maintain accurate records related to facility operations, inspections, and vendor contracts
  • Support emergency preparedness efforts, including fire drills, safety audits, and incident reporting
  • Contribute to a welcoming environment by assisting with occupant inquiries and ensuring common areas remain functional and presentable

Required qualifications

  • High school diploma or equivalent; associate degree in facilities management, business administration, or related field preferred
  • 1-3 years of experience in facilities, property management, hospitality, or a related operational role
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Clear and professional written and verbal communication skills
  • Comfortable using work order management systems, Microsoft Office, and other basic workplace technology
  • Ability to work both independently and collaboratively as part of a team
  • Willingness to walk the facility regularly and respond to on-site needs as they arise

Preferred qualifications

  • Experience working within a commercial real estate, corporate services, or facilities outsourcing environment
  • Familiarity with building systems (HVAC, electrical, life safety) at a working knowledge level
  • Exposure to vendor contract administration or basic budget tracking
  • Certification or coursework related to facilities management (e.g., FMP, CFM) is a plus
